Auto Repair Job Quote & Profit Calculator (Parts Matrix, Labor, Supplies, Tax)

Most quote tools stop at the price the customer pays. This one also answers the question that decides whether you should take the job: what do you actually earn per hour once parts, card fees, and your drive are paid for? Every input is yours to change. The defaults are examples, not industry statistics, except the card-fee default, which is Square's published in-person rate.
1. Parts
Enter your cost for each part. Leave "markup %" blank to use your matrix (section 2).
| Part | Your cost ($) | Qty | Markup % (blank = matrix) |
|---|---|---|---|
| 1 | |||
| 2 | |||
| 3 | |||
| 4 | |||
| 5 |
2. Your parts markup matrix
A matrix marks up cheap parts by a higher percentage than expensive ones. These tiers are placeholders. Set your own based on your costs and your market.
3. Labor and service fees
4. Supplies and disposal
California: BAR prohibits a generic "shop supplies" charge. Only supplies actually used on that vehicle may be charged, and they must be itemized. See our estimate & invoice requirements guide. Check your own state's rules before using a percentage.
5. Sales tax
States differ a lot. Texas, California and New York treat labor differently, and Florida taxes the whole repair charge when you supply parts. See sales tax on auto repair. The 7% default is only a placeholder.
6. What the job costs you (profit check)
The math, with your numbers
How to read the result
- Customer total is what goes on the estimate. Send it as a document with the free estimate & invoice generator (sister site), and keep it consistent with your state's estimate rules.
- Effective rate is the number to watch. It counts every hour the job takes from you, including the drive, and subtracts what the job costs you. "You keep" covers your own pay, overhead and profit, so compare it with the break-even rate from the labor rate & break-even calculator, which already includes your overhead. If the effective rate is below break-even, the job loses money even though the invoice looks fine.
- Drive time is the usual leak. If the profit check comes out low, price the trip properly with the trip & travel-fee calculator, or group jobs by area.
- Sales tax isn't profit. You collect it for the state, so the profit check leaves it out. Card fees, though, are charged on the full amount, including tax.
Where the defaults come from
- Card fee 2.6% + 15¢: Square's published in-person rate on its free plan (Square fees). Compare processors in our card fees guide.
- Vehicle cost 76¢/mile: the IRS business standard mileage rate for July 1 to Dec. 31, 2026 (IRS), used as a stand-in for vehicle cost. It's only subtracted if you tick the box: the labor rate calculator already counts vehicle costs in overhead, so subtracting them again would count them twice. The trip calculator uses the same rate, and our mileage guide has details. Replace it with your own cost if you track it.
- Labor rate $83.28 and break-even $75.71: the worked example from our labor rate calculator. They're examples, not market data. For market data, see 2026 labor rates.
- Markup tiers, parts costs, hours, supplies and tax rate: placeholders. There's no universal "right" matrix. Use your own. For a full matrix builder with markup ↔ margin conversion, see the parts markup & margin calculator (sister site).
